WhatsApp call-up templates for your match (copy and paste)
Calling up a match on WhatsApp looks easy until you do it badly: a long message nobody reads, a list that breaks because three people edit it at once, and come Wednesday night you’re 7 and nobody knows who owes what.
Here are 9 templates ready to copy, paste and adapt. They work just as well for five-a-side in San Fernando as for 7-a-side in Zaragoza. Change the day, time, price and phone number, and away you go.
Before you copy: the three golden rules
Templates only work if the rhythm works. The unwritten etiquette of every serious kickabout goes like this:
- The call-up goes out on the same day at the same time, every week. For a Thursday match, Monday morning. Not Tuesday night, and not “whenever I remember”.
- The list closes 24 hours before the match, and the closing time is announced in the message itself. After it closes, dropping out means paying.
- One message, one job. Don’t mix the call-up with the payment reminder or the debate about last week’s foul. Each thing gets its own message.
The weekly call-up with a numbered list
The “1. Name” ritual is sacred: everyone copies the whole message, adds their name in the first free slot and re-sends it to the group. Order of arrival visible to all, zero arguments. Send it first yourself with the list empty (or stick yourself straight in at number one — you’re the organiser, it’s the least you get).

The money: a payment reminder that doesn’t make you the bad guy
Ask for the money when the list closes, not after the match. Keep the tone light but name names: whoever’s on the list pays within five minutes and nobody takes offence, because the rule is the same for everyone. Bizum trick (Bizum being Spain’s instant bank-transfer app): you can request money from up to 30 people at once, so a single request to the group with a clear reference saves you chasing anyone. And if the sums get tangled between the one who fronted the pitch and the one who brought the bibs, a shared expense tracker like Haypartido’s shows everyone who’s paid and who hasn’t.

When you’re short of players: final call and promoting a reserve
The final call goes out the day before if you’re not at the numbers you need. Be specific: how many you’re short and how long people have. And when someone drops out, the reserve promotion goes out with a name and a deadline to confirm; a vague “anyone from the reserves?” thrown into thin air gets answered by nobody.

Cancellation and the rain plan
If you have to cancel, do it early, give the reason and say what happens with the money: those two lines are the difference between a group that trusts you and one that starts to wonder. With rain, don’t decide on your own: give closed options and let the group vote with emojis. Majority rules, and nobody complains.

After the match: result and MVP
The post-match message is the most underrated of the lot: it keeps the group alive between matchdays and gives the kickabout a memory and a history. The result, a spark of match report and an MVP vote — everyone replies with one name. Give the winner a token prize (picking teams, or not paying next time) and watch the votes roll in. If you play through an app with the MVP vote built in, like Haypartido, even better: the vote is secret, so nobody votes for whoever’s standing in front of them out of politeness.
